Job Summary

The Ellison Medical Institute seeks a visionary and detail-oriented Facilities Manager to oversee its iconic, world-class facilities. As part of the Building Experience team, you will ensure that every aspect of the Institute’s environment from cutting-edge research labs and clinical spaces to curated art installations and luxury hospitality accommodations is maintained to the highest standard of excellence and sophistication.

In this fast-paced, high-touch role, you will bring expertise in building systems, engineering, and operational efficiency, while delivering a white-glove experience that reflects the Institute’s commitment to innovation and attention to detail. You will manage facilities that rival those of premier research institutions, luxury properties, and distinguished cultural spaces, creating an environment that supports excellence at every level.

Job Accountabilities:

  • Facility Operations and Maintenance:
    • Oversee the planning, scheduling, and execution of corrective, preventative, and calibration work orders, ensuring efficient operations and minimal downtime.
    • Develop and maintain standard operating procedures (SOPs) and job plans to streamline processes and ensure consistent, high-quality performance.
    • Implement comprehensive deferred and preventative maintenance programs, manage equipment inspections, repairs, and purchases to maintain optimal facility functionality.
    • Manage day-to-day operations for both the Institute and hospitality accommodations, ensuring facilities meet Institute standards and remain functional, aesthetically appealing, and compliant with ADA and EHS regulations.
  • Vendor and Contractor Management:
    • Lead relationships with external contractors and vendors for facility services, maintenance, construction, and renovation projects, ensuring high-quality execution and timely delivery.
    • Oversee the development and implementation of a spare parts program and manage procurement activities for facility needs, ensuring timely approval and cost-efficiency.
  • Energy and Safety Management:
    • Lead energy management programs aimed at reducing costs and improving efficiency, supporting the organization's sustainability goals.
    • Conduct safety inspections, collaborate with EHS to address any risks, ensure compliance with health and safety regulations, and provide necessary safety equipment while maintaining accurate records.
  • Team Leadership and Development:
    • Supervise, mentor, and develop Building Experience team, setting clear priorities and providing regular feedback to foster a high-performance culture. Ensure timely task completion and continuous growth.
    • Flexibility to work outside regular 9-5 hours (including early mornings, evenings, and weekends as needed) while minimizing disruption to operations.
  • Project and Budget Management:
    • Manage facility-related projects, ensuring effective coordination of timelines, resources, and budgets for both planned and corrective maintenance, and proactive improvements.
    • Oversee the budgeting process for facility operations, reviewing and approving expenses to ensure cost-effective management of resources.
  • Emergency Response and Facility Design:
    • Assist in or lead emergency responses, including after-hours and weekend support, ensuring smooth and safe operations during emergencies.
    • Collaborate with vendors and contractors to optimize workspace functionality and aesthetics, maintaining a visually appealing design in line with the Institute brand and overseeing building improvement projects.

Required Education: A Bachelor’s degree in related field (Master’s preferred).

Required Experience: 5-7 years in facilities design, planning or management; 7-10 years preferred, with extensive experience managing facilities that support laboratories, clinics, pharmacies, and hospitality accommodations. Proven ability to oversee high-performing maintenance teams and external service providers. Experience with International Organization for Standardization (ISO)-classified spaces is a plus. A track record of fostering a positive workplace culture and excellent communication skills (both written and verbal) is essential.

Required Expertise: Familiarity with building management systems (BMS) and infrastructure systems, as well as clinic, pharmacy, and laboratory equipment.

Required Technical Skills: Proficiency in communication platforms (e.g., Slack), procurement software (e.g., Procurify), MS Office, AutoCAD (preferred), Bluebeam, estimating software, and project management tools. Knowledge of ADA compliance, California Building Codes, Title 24, EHS practices, and lockout/tagout procedures. Ability to read and interpret blueprints, specifications, and close-out packages for both existing buildings and future developments.

Salary: DOE, $135,000-$163,032
