Job Summary
The Ellison Medical Institute is seeking a compassionate, organized, and adaptable Front Office Administrator (Clinical Associate I) to join our dynamic Oncology and Preventive Health Clinic. This full-time role operates Monday through Friday during clinic hours from 8:30AM-5:00 PM. As the first point of contact for patients, this role is essential in shaping a welcoming and supportive experience—from check-in through departure—while also ensuring the smooth day-to-day operations of the front office.
Responsibilities include greeting and assisting patients, triaging incoming calls, scheduling appointments, and responding to real-time changes with professionalism and empathy. This role also plays a key part in maintaining efficient administrative workflows and upholding the highest standards of patient care, service, and confidentiality.

Job Accountabilities:
- Patient Check-In and Check-Out: Warmly greet patients upon arrival, verify required information, and ensure a seamless check-out process following their appointment.
- Answering Phones and Routing Calls: Manage a multi-line phone system to respond promptly to inquiries, direct calls accurately, and take detailed messages with professionalism and empathy.
- Appointment Scheduling and Confirmation: Efficiently schedule follow-up and infusion appointments while confirming future visits, ensuring clear communication with patients.
- Medical Records Management: Obtain, upload, and organize medical records within the Electronic Health Record (EHR) system (such as Epic or similar) to support clinical documentation and care coordination.
- Fax Processing and Document Routing: Review incoming faxes, identify appropriate recipients, and ensure timely and accurate distribution of documents.
- Clerical and Administrative Support: Perform general office duties including scanning, filing, printing, and preparing documents to maintain workflow efficiency.
ADDITIONAL INFORMATION
- Required Education: Associates of Arts (AA) degree or equivalent
- Required Experience: Minimum of 6 months to 1 year of customer service experience; 1 year preferred
- Preferred Technical Proficiency: Experience in using Microsoft Suite (including Outlook), Slack, Epic (or similar EHR systems), and other digital tools essential for efficient clinic operations.
- Preferred Experience: At least 1 year of experience in health care setting
