The Ellison Medical Institute is seeking a thoughtful, resourceful, and service-minded Executive Assistant to support senior leaders. In this highly visible and impactful role, you’ll ensure their days run smoothly by managing complex schedules, coordinating meetings and travel, and serving as a reliable point of contact across the organization.

- Executive Communications: Serve as the primary liaison on behalf of the Chief Translational Research Officer, Chief Science and Innovation Officer, and Chief Medical Officer handling internal and external communications with professionalism and care.
- Meeting Preparations: Draft correspondence, prepare materials, and manage follow-ups to ensure meetings are productive and well-run.
- Document Support: Create and refine presentations, agendas, and internal documents.
- Expense and Budget Support Submit timely expense reports promptly and assist with basic budget tracking.
- Team & Event Logistics: Plan team meetings and offsites; support onsite logistics for major events.
- EA Team Collaboration: Partner closely with fellow Executive Assistants to align calendars and support organizational priorities.
- Visitor Experience: Greet guests warmly and occasionally lead tours of the Institute.
- Culture Champion: Help foster a positive, engaged, and collaborative workplace culture.
- Minimum 5 years of Executive Assistant experience, ideally supporting C-Suite or high-visibility leaders in fast-paced environments.
- Clear, direct, and thoughtful communication skills.
- Meticulous attention to detail and a highly organized approach
- Discretion, trustworthiness, and a deep respect for privacy and confidentiality
- Proficiency with productivity tools, calendar platforms, and internal systems.
- Friendly, approachable, and service-oriented mindset.
- Proactive and adaptable in managing evolving priorities.
- Experience in a healthcare or medical setting is a plus.
